Guide · Trustee appointment
The trustee appointment is where prepared evidence and the applicable registration process come together. Confirm the requirements for your transaction before treating a booking as proof that the file is ready.
Identify the actual transaction—standard sale, mortgage-related sale, gift or another accepted route—and the authorised channel handling it. Confirm the appointment arrangements and any pre-submission requirements directly with the relevant centre or through the appointed coordination process.
Conveyance is an independent coordination service. It is not a trustee centre or a government authority.
Record the required parties and the identification they must bring. Where someone acts for an owner, buyer or company, confirm the authority evidence required for this transaction. A relative or employee attending is not automatically an authorised signatory.
If representation is involved, read the overseas and POA guide.
Keep the current property record, relevant agreement, party details, developer output and lender or authority evidence together. Check identifiers and document usability against the appointment date. Confirm which originals or original verification steps are required.
Use the document checklist as a preparation aid; the actual transaction instructions determine acceptance.
Use an itemised schedule with amount, purpose, recipient, payer and accepted method. Independently verify the recipient details before arranging a manager’s cheque or other payment. Do not copy instructions from an unrelated completed file.
Conveyance does not hold purchase money. Official and settlement payments follow the relevant bank and authorised trustee process. Our payment guide explains the categories.
| Question | Record before attendance |
|---|---|
| People | Required attendees and confirmed authority |
| Property | Correct current record and matching identifiers |
| Clearances | Required developer and lender outputs |
| Documents | Required originals and current usable versions |
| Funds | Confirmed amounts, payees and payment methods |
| Output | Expected registration record and delivery details |
Anything unresolved should be named explicitly. “All good” is not a useful substitute for a missing bank output or unconfirmed signatory.
The authorised participants process the official transaction and issue the relevant output. Keep receipts and references. Check the issued record against the intended parties, property and ownership information, then organise the agreed handover actions.
The after-transfer checklist covers the practical follow-through.
No. A booking is an arrangement to attend or process the service. Document acceptance and the actual registration depend on the file meeting the applicable requirements.
