What to do about a name mismatch in a property-transfer file

Do not silently choose one spelling and apply it to every document. A name mismatch is an evidence question: which records differ, what explains the difference and which issuer or authority must confirm the correct position?

Write the difference exactly

Create a comparison with the document name, issuer, date and exact text of the relevant field. Include differences in spelling, order, initials, company suffixes or identity references. Keep the original documents unchanged.

“Name does not match” is less useful than “the property record uses this company name; the current registration document uses this different name following the stated change.”

Identify the kind of discrepancy

Do not assume every discrepancy is minor. A different legal owner cannot be resolved by treating it as a typographical variation.

Ask for the required correction or confirmation

Raise the exact discrepancy with the relevant document issuer and the organisation accepting the file. Ask which evidence or update is required for the actual transaction. Where legal identity or authority is disputed, obtain qualified advice.

Avoid commissioning a translation, declaration or new document based only on guesswork. Establish its purpose and acceptance requirement first.

Check connected documents

If one record changes, identify the other documents that use the same name or reference: agreement, developer application, lender information, representation or corporate authority. Record which ones need a corresponding review.

Changing one application field does not automatically update the source record or another organisation’s file.

Before the appointment
